HR-110 Employee Handbook: Holidays and Pay Practices

1 Purpose

This section of the Employee Handbook explains paid holidays, the pay schedule, overtime, shift differential and timekeeping at Tallgrass Precision Components.

2 Scope

Applies to all regular employees. Overtime and shift differential rules in sections 6 and 7 apply to non-exempt (hourly) employees. Attendance and PTO are covered in HR-100; pay bands and merit increases are covered in HR-220.

3 Definitions

  • Workweek: Sunday 00:00 through Saturday 23:59.
  • Hours worked: Time actually spent working, as recorded at the badge clocks. PTO, holiday, bereavement and jury duty hours are paid but are not hours worked.
  • Missed punch: A missing or incorrect clock-in or clock-out.

4 Responsibilities

  • Employees record all time at the badge clocks and review their pay stubs.
  • Supervisors approve timecards each pay period and approve missed-punch corrections.
  • HR maintains the holiday calendar and answers pay questions (ext. 2230).
  • The Controller runs payroll and issues direct deposits.

5 Holidays

5.1 Paid holidays

Tallgrass observes 8 paid holidays each year:

  1. New Year's Day
  2. Memorial Day
  3. Independence Day
  4. Labor Day
  5. Thanksgiving Day
  6. Day after Thanksgiving
  7. Christmas Eve
  8. Christmas Day

When a holiday falls on a Saturday it is observed the preceding Friday; when it falls on a Sunday it is observed the following Monday. HR publishes the observed dates each December.

5.2 Holiday pay

Eligible employees receive 8 hours of holiday pay at their base rate. To be eligible, an employee must work (or be on approved PTO for) their last scheduled shift before and first scheduled shift after the holiday. Employees must complete 30 days of employment before holiday pay begins.

5.3 Working on a holiday

An employee scheduled to work on a holiday is paid 1.5 times the base rate for all hours worked on the holiday, plus the 8 hours of holiday pay. Holiday hours paid at 1.5x are not paid a second time as weekly overtime.

6 Pay Schedule

Employees are paid biweekly on Friday, by direct deposit. Each pay period covers two workweeks ending on the Saturday six days before payday. When a payday falls on a holiday, deposits are made the business day before. Pay stubs are available in the HR portal. Direct deposit changes made in the HR portal take effect on the next payroll if entered by the Monday before payday.

7 Overtime and Shift Differential

7.1 Overtime

Non-exempt employees are paid 1.5 times their regular rate for hours worked over 40 in a workweek (Sunday-Saturday). Paid time off, holiday hours and other paid leave do not count toward the 40 hours. Overtime must be approved in advance by the supervisor, but all overtime worked is paid.

7.2 2nd shift differential

Employees working 2nd shift (14:30-23:00) receive a shift differential of $1.75 per hour for all hours worked on 2nd shift. The differential is included in the regular rate used to calculate overtime. It is not paid on PTO or holiday pay.

8 Timekeeping

8.1 Badge clocks

Hourly employees clock in and out at the badge clocks located at the main employee entrance, the Bay 1 dock office and the Bay 5/6 breakroom. Clock in no earlier than 7 minutes before the shift starts unless overtime is approved. Clocking in or out for another employee is falsification of records and is handled under HR-200.

8.2 Meal periods

Each shift includes an unpaid 30-minute meal period, which must be punched out and in at a badge clock.

8.3 Missed punches

A missed punch must be corrected within the same pay period using the timecard correction in the HR portal, and requires supervisor approval. Corrections submitted after the pay period closes are processed on the next payroll.

9 Records

Timecards, approved corrections and payroll registers are maintained by the Controller in the payroll system. Personnel-related pay documents (offer letters, pay changes) are kept in the personnel file per HR-230. Pay data is classified Restricted under IT-05.
